Here’s the danger zone: you email your mood board to the team a week before the shoot, and the first time you all meet is on the day. Chaos ensues. Miscommunication runs rampant. And suddenly, your carefully crafted vision looks… off.

The Secret to Team Success: Collaboration

Here’s my suggested approach to keep things running smoothly:

1. Define Your Vision Clearly

We’ve covered this in Blog 2, but it bears repeating. Start with a simple, well-defined vision. Share it with your team early—this is the foundation of everything.

2. Keep It Visual

Include a couple of strong reference images that capture the vibe you’re going for. Think quality over quantity. Too many visuals can dilute the focus.

3. Talk It Out

Host a virtual or in-person meeting with the team to discuss your vision. Let them ask questions and share initial thoughts. This conversation sets the tone and gives everyone clarity.

4. Encourage Independent Contributions

After your initial meeting, give the team some breathing room to think about their contributions. A good stylist or makeup artist will come back with ideas and suggestions that take your vision further than you could have imagined.

5. Build a Shared Mood Board

Use collaborative tools like Apple Freeform or Milanote to create a shared space for the team to contribute their references. This step is a game changer. It ensures everyone’s input is aligned and creates a cohesive plan.

The Final Mood Board: Your Team’s North Star

Once everyone has shared their ideas, come together to finalize the mood board. This is your team’s blueprint. It should include:

Agreed-upon vibe and references
Planned looks for models (hair, makeup, fashion styling)
Notes on lighting and composition from the photographer

This final document ensures everyone shows up on shoot day prepared and aligned. No surprises, no last-minute confusion. Just seamless execution.
